1. Ensure you have a valid quote from a bike shop, valid for 30 days.
   
   You cannot simply submit a random value for your voucher. The quote must accurately reflect the items being ordered. If you need to make changes after you have made your submission, your application process will be delayed as your employer is informed and GCI resets your application. You must ensure your application is correct at the point of submission.

2. Secure your bike with a refundable deposit
   
   To ensure the bike shop still has your chosen bike when you go to collect it, you will need to secure it with a fully refundable deposit at the point you obtain a quote. Otherwise, the bike shop can sell the bike to another customer and your application will need to be cancelled and your employer informed.

The DfT Cycle to Work guidance stipulates that only cycles for active travel and cyclist’s safety equipment can be hired under the Cycle to Work Scheme. This means the following items are not permitted under the scheme: electric scooters, electric unicycles, bike computers including power meters, cameras and GPS devices such as Garmin and Wahoo.

You now need to log onto CHOICES to complete your order.

• Log back onto CHOICES and select the ‘Benefits’ option and then the ‘Cycle to Work – Premium’ benefit option.
• Confirm the value of the bike order plus the administration fee. This completes the order.

• Your employer will need to approve the order shortly after the CHOICES selection window has closed by matching the information in CHOICES with the information in your GCI application.
• GCI will send you the Hire Agreement which you must electronically sign.
• CHOICES will send you the Salary Sacrifice Agreement directly.
• Once all documents have been electronically signed and your employer gives final approval, GCI will send the Collection Voucher to you. GCI aims to process this within five working days of receiving the signed documents.

• On receiving your Collection Voucher, you will need to contact the bike shop to arrange collection of the bike package.
• You will need to take the Collection Voucher and photographic ID to the bike shop when you collect the bike package. The shop is not authorised to release the bike package to you without seeing both your voucher and ID.

• Log into Incredible Benefits, go to 'explore your benefits' and click on the 'Cycle to Work' benefit option.
• Under the make your choices section, enter the full value of the bike and any accessories youve chosen. This amount must match the amount you have submitted on the GCI Portal.
• Add the benefit to your basket, accept the salary sacrifice terms and conditions and select confirm your selection.
• This completes your order.

• Your employer will approve the order shortly after the Incredible Benefits monthly window has closed (25th of every month) by matching the information in Incredible Benefits with the information on your GCI application.
• GCI will send you the Hire Agreement and Salary Sacrifice Agreement via E-Sign which you must electronically sign.
• Once your agreements have been electronically signed, GCI will send the Collection Voucher to you via email. GCI aims to process this within 8 working hours of receiving the signed documents.

• On receiving your Collection Voucher, you will need to contact the bike shop to arrange collection of the bike package.
• You will need to take the Collection Voucher and photographic ID to the bike shop when you collect the bike package. The shop is not authorised to release the bike package to you without seeing both your voucher and ID.

• You will automatically sign the Salary Sacrifice Agreement as part of your check out on My Benefits, so please take the time to read this.
• Once all documents have been electronically signed, GCI will send the Collection Voucher to you. GCI aims to process this within 8 working hours of receiving the signed documents.

• On receiving your Collection Voucher, you will need to contact the bike shop to arrange collection of the bike package.

• Once all documents have been electronically signed, GCI will send the Collection Voucher to you. GCI aims to process this within 8 working hours of receiving the signed documents.

• On receiving your Collection Voucher, you will need to contact the bike shop to arrange collection of the bike package.
• You will need to take the Collection Voucher and photographic ID to the bike shop when you collect the bike package. The shop is not authorised to release the bike package to you without seeing both your voucher and ID.

If you have not already done so, please ensure you log onto the Flexible Benefits platform to check out and complete your Cycle to Work benefit selection. You must ensure that the voucher amount on the platform exactly matches the value you have requested in your Green Commute Initiative application for this to be processed.

• If you have not already done so, log back onto the Flexible Benefits platform and select the ‘Cycle to Work’ benefit tile.
• Confirm the value of your voucher and ensure this exactly matches the value on your Green Commute Initiative application, before you check out.

• GCI will send you the Hire Agreement which you must electronically sign within 48 hours. You will receive the Hire Agreement shortly after the Flexible Benefits platform ‘Monthly Anytime' window closes on the 5th of the month.
• You will already have received the separate Salary Sacrifice Agreement as part of your selection and check out process on the Flexible Benefits platform, so please take the time to read this.
• Once you have electronically signed the Hire Agreement, GCI will send the Collection Voucher to you. GCI aims to process this within 8 working hours of receiving the signed Hire Agreement.

• On receiving your Collection Voucher, you will need to contact the bike shop to arrange collection of the bike package.
• You will need to take the Collection Voucher and photographic ID to the bike shop when you collect the bike package. The shop is not authorised to release the bike package to you without seeing both your voucher and ID.

If you have not done so already, you now need to submit your request on UP2U to complete your order.

• Log into www.mybenefits-uk.avon.com, click on ‘Select Benefits’ in the Cycle to Work window, then click on the ‘Cycle to Work’ benefit option.
• Under Level of Cover, enter the full value of the bike and any accessories you’ve chosen. This amount must match the amount you have submitted on the GCI Portal.
• Add the benefit to your cart, accept the salary sacrifice terms and conditions and select Confirm Selection.
• This completes your order submission.
• You will receive an automatic email from GCI once your application is approved.
• GCI aim to send the hire agreement and salary sacrifice agreement within a working day of receiving approval.
• The hire and salary sacrifice agreements must be electronically signed. Once both documents are signed, we will send your collection voucher to you. We aim to process this within the same working day.
• On receiving your voucher you will need to contact the bike shop to arrange collection of your bike package.
• You will need to take the voucher and photographic ID to the bike shop to collect your goods. The shop is not authorised to release your bike package without seeing both your voucher and ID.

• Log back onto Benefits Portal and select the Cycle to Work Tile and Green Commute Initiative.
• Confirm the value of your order and ensure you check out.

• GCI will send you the Hire and Salary Sacrifice Agreements which you must electronically sign within 48 hours. These will be sent out 1 – 2 weeks following your submission in the Benefits Portal.
• Once all documents have been electronically signed, GCI will send the Collection Voucher to you. GCI aims to process this within 8 working hours of receiving the signed documents.

• On receiving your Collection Voucher, you will need to contact the bike shop to arrange collection of the bike package.
